Information we process
Depending on the service used, we may process account name and email, billing and delivery details, ordered items and amounts, payment status and limited transaction references returned by the payment provider, support messages, after-sales explanations and evidence the customer chooses to upload.
Server and security systems may also record IP address, device or browser information, request time, errors and security events. Zoowai does not ask customers to send full card numbers, payment passwords or verification codes through support forms.
Why we process information
- Create and protect accounts and verify ownership of an order.
- Process orders, payment status, delivery, cancellation, returns and refunds.
- Provide support and retain public replies and necessary internal audit records.
- Prevent fraud, malicious uploads, unauthorised access and abuse.
- Meet accounting, tax, product-safety, consumer-protection and dispute obligations.
Legal bases
Processing may be necessary to perform a contract or take requested pre-contract steps, comply with legal obligations, pursue legitimate interests in transaction and site security, or rely on consent for an optional feature where law requires it. Withdrawal of consent does not affect earlier lawful processing.
Service providers and recipients
To run the site and fulfil transactions, we may provide the minimum necessary information to the WooCommerce components performing store functions, Kinsta hosting and security services, PayPal when displayed at checkout, authenticated Gmail delivery, carriers, and professional advisers or authorities where legally required.
We do not sell personal information to advertisers merely by publishing this policy. We do not claim targeted advertising, partner marketing or competition analytics unless such processing is actually enabled and disclosed.
International processing
Hosting, payment, email or carrier services may process information outside the customer’s location. We use service-provider terms, necessary transfer mechanisms and data minimisation as required. Market-specific transfer arrangements still require professional review before commercial opening.
Retention and deletion
Orders, payment and accounting records are kept for applicable legal and dispute periods. Account information is kept until closure and necessary clean-up. After-sales events are business audit records, while attachments are kept only as needed for processing, disputes, security quarantine or legal obligations.
When retention ends, information is deleted, anonymised or isolated from ordinary use. Deletion from backups may complete through the normal backup rotation.
Your rights
Depending on applicable law, you may request access, correction, deletion, restriction, objection or portability, or complain to a regulator. We may carry out reasonable identity checks and respond within the legally applicable period.
Send a rights request to support@zoowai.com. To protect accounts and orders, we do not disclose order or attachment information solely on the basis of an unverified email.
Security and attachments
After-sales attachments are stored outside public media paths and accessed through login, order ownership, staff permission and forced-download controls. When no automated malware scanner is configured, an attachment remains unknown until authorised staff review it in a controlled terminal and mark it clean or rejected.
No internet service can promise absolute security. If an incident may affect customers, we assess, contain and notify as required by applicable law.
